The Scenario: You are nearly ready to send a revised proposal to the funding agency you have chosen. Based on positive response to your letter of intent, you know your sponsoring agency is interested in your idea. You also know that another organization is making a similar proposal, so your proposal needs to stand out from the competition.
Your Task: Write a cover letter of no more than one page that introduces your project, followed by an executive summary (based on your needs statement which is attached to this) and a cover page that includes an abstract of your project. As you have learned, these three features of proposals communicate similar information that is presented differently. As you work on your front matter, remember that
1. The cover letter can never exceed one page and must include a short description of the problem and the solution. It should also guide the funding source’s reviewers through the elements that are included in the proposal. The goal of the cover letter is to make a first impression and get your sponsor excited about your proposal. Make sure to use appropriate Word cover letter format (block) and identify the sponsor’s contact person by name; also make sure that the cover letter includes a way for the sponsor to contact you with questions.
2. The cover page should include the name of the project, names of project leaders from your organization, duration of the project, amount of funding you are seeking, name and address of your organization, and an abstract of your proposal. The abstract should be a short paragraph that includes a clear, concise statement of the problem, solution, and expected outcome of your project.
3. The executive summary serves as a snapshot of your entire proposal. As such, it will necessarily repeat information from the proposal, and that is acceptable. Your executive summary should
• establish a relationship between the problem you want to solve and the sponsor’s mission,
• put the problem in context,
• indicate the project goal and the main objectives to achieve that goal,
• clarify your method for achieving your goal and how your method differs from other methods,
• establish credibility, and
• articulate expected outcomes.
