Sometime when working on huge projects or even when we are busy trying to get things done as soon as possible we still end up with mishaps in the process of it all. Within an organization communication is always something that should be important between individuals, especially when it comes to new and upcoming events. Practicing time management can be vital in your organizations overall ability to produce accurate leadership and management skills.

Organization in the can diffuse huge miscommunications in the workplace and makes things easier to handle. In our case study we see that our new recruit for ABC Inc. Carl Robbins not only lacks leadership skills but does not practice communication or time management. Let’s take a moment to see how Carl could have handled his situation much better for a more successful outcome.

BACKGROUND

We learn that Carl Robbins the new recruit for ABC Inc., while only his job for six months decided that he would make his first attempt in scouting for recruitment. In April Carl decides to recruit and hire 15 new employees to work for Monica Carrolls, whom is the supervisor of operations. Robbins in his own mind is thinking that he wants all employees to be working by July, so he decides that the training for the new hires should take place June 15.

Monica Carrolls, supervisor of operation contacts Carl May 15 regarding new hire materials and updates.  Carl assures Monica that everything’s going as planned and that everything will be taken care of on time. At this point Carl has not done anything for this new hire training class that’s to take place June 15. It’s after the Memorial Day holiday and Carl realizes that all of the employee’s applications and paper work had not been complete, this was a red flag as the training class was soon approaching.

This prompts Carl to start checking out all of the other new hire information material and scheduling. Once taking the time to make sure that all task were being taking care of he falls upon even more mishaps, which could have ultimately been avoided had time management been included. At this time Carl realizes that none of the new hires had been sent out for their mandatory drug screening. When he goes to looking for the application so that he can have them completed by employees there’s no applications available.\

Carl then proceeds to go a step further to book the training room for his new hire training class only to find out that the training room has already been booked for the entire month of June by Joe from technology services. At this point Carl is lost for words and begins to panic and has no idea what he’s about to do, or even where to start to fix his mistakes.

Key Problems

From the beginning we see mistakes that clearly could have been avoided is simple steps had been taken. Was there enough training given to Carl before allowing him to start recruiting for new hire? Communication was a huge issue in the reason that the training materials and applications had not been updated or completed on time.

Communication is the activity of conveying information through the exchange of ideas, feelings, intentions, attitudes, expectations, perceptions or commands, as by speech, non-verbal gestures, writings and behavior. Throughout the process we never see Carl communicate with Monica or Joe regarding the training and hiring process of the new employees.

            Time management could have made Carl more productive had he used his time wisely. We never actually hear about Carl taking actions to get things done, the only thing that he has done from the beginning was just make assumptions and plans about how and what needed to be done. Time management is the act or process of planning and exercising conscious control over the amount of time spent on specific activities, especially to increase effectiveness, efficiency or productivity.

            One of the biggest issues that I see is that of any organization structure for the company. Carl was busy making plans to take care of the new hires and all of the appropriate materials that needed to handle along with the process. But in what order was this done? There was not one and Carl assumed that when needed that he would just schedule training whenever he thought was a good time.

Alternatives/ Proposed Solutions

            Carl had more than enough opportunities to get the help that he needed in order to have everything taken care of on time, but because he lacked several steps in his success process that it was almost unbearable to try and fix. From the beginning communication played a role in the hiring process. There was never any communication as far as for Carl’s plans and intentions with his recruiting approach. When approached by Monica regarding the material and the status of the new hire process Carl should have advised at that point where he was with the training and scheduling; instead he insisted that he’d have everything taken care of.

            Carl should have already taken the time to make sure that there was space available for his training class on the date that he was inquiring. There should have been more time management as far as the planning for everything. Carl did not use his time in the correct manner and this caused small issues that could have been easily fixed to linger on to cause bigger issues.

            During the process of this event we see what looks as if Carl is all over the place with arranging this training event. Even when he tried to schedule the location for the training there was no organizational set up on how this should have been done. How was it that Carl decided to do a training during the same time that the training facility is booked for the entire month? Was there no company policy on how to schedule for the training facility?

Recommendations

At the very beginning we see that Carl has no communication skills or does he? Carl should have been able to communicate to Monica that he was behind on several things regarding the new hire training. Communicating this could have prompted for another solution to the problem, so I would have definitely recommended that he had communicated that information. Monica was not aware that Carl was behind on his duties as the recruiting for the company. Communication open doors that maybe Carl could have not opened, maybe he would have found out about the time frame for sending new hires out for mandatory drug testing and completion of their applications.

            Time management is something that all individuals should be practicing in the work force. Not only does it give you the necessary amount of time to carry out a project but it allows time for thorough execution of your project. In our study we see that none of the issues that arose was not noticed until only a few weeks before the actual training was to take place. Giving yourself enough time allows you to evaluate each and every situation in this case Carl had not gone over the employees applications to make sure that they were completed, with enough time he would have been able to get the applications completed. He also failed to send the candidates out for drug screening, which is one the steps in the hiring process.

            Carl should have not assumed that everything would have gone as smooth as he would have wanted them to be. Because he did not use his time to make sure everything he needed was available to him he now found himself in a difficult situation.

            When scheduling for the meeting Carl just assumed that there was just going to be space available. There was not any type of system database that could have informed Carl that the training room had already been booked for the entire month that he was considering.  Having access to a company database that shows times and locations for available training facilities would have been helpful with the planning of Carl training class.

            Maybe having some type of template on a company’s website where Carl could have retrieved the applications that he needed to be completed by the new hires. Carl had all of these resources available to him he just chose not to use them. When conducting a training I would make sure that my facilitator is familiar with the companies policies and procedures, basically how things work. Carl after only on the job for six months maybe could have used more training before deciding to conduct a new hire recruitment class.

Credible communication and time management are vital elements in planning and executing a plan in a charitable way. Proper management of both time and communication structures ensures that there are no mishaps at the end of any project.
